You can name your record practically anything you want.
•The name you provide can be anything. Your client's or customer's name; a file number; a combination of the two. A 'classic' naming style is 'Doe, John' (last name, comma, first name). But so is a file number '3304-1'
•The entries in the Existing Data dropdown list are presented in alphabetical order. Therefore, if you use a client or customer's name as the record identifier, we recommend the "LastName, FirstName" style.
Keep in mind, however, that an IDB record is saved as a file, and therefore normal file naming restrictions apply. You can use most special character, but some are 'forbidden':
•< (less than)
•> (greater than)
•: (colon)
•" (double quote)
•/ (forward slash)
•\ (backslash)
•| (vertical bar or pipe)
•? (question mark)
•* (asterisk)
Some of the above may actually be legal in certain versions of Word, but we caution against you using them..
Hyphens/Dashes
Do you see the difference between 'Doe, John - Closing' and 'Doe, John – Closing'? It's a tough one. The first file name uses a hyphen (en dash or minus sign) and the second uses an 'em' dash).
There are (at least) 4 different kinds of dashes that Word recognizes. When Pathagoras searches for a match, it is looking for only one of those. If you are not consistent from file to file as to the type of character you used to name each, or worse -- Word automatically converts your choice to something else and you don't know it -- you will may not be successful in locating your IDB record. You technically can use a dash, but you shouldn't unless you are very consistent about using one, and that one should be the hyphen (or the 'minus' sign on the numeric keypad). If you need to note something special about a file, parenthesis are good characters to use.
