Instant Glossary

   ‘Instant’ is the name of the game in the document assembly business. From the beginning, Pathagoras could instantly assembly your separate glossary terms into a complete document.  Now it can go the other way. Pathagoras can disassemble an of your complete documents and create for you a complete, fully functional glossary. Neuter the text, add alternative clauses and you are ready to roll. Simple, fast, elegant.

          There is very little document prep when you use "Instant Glossary." You simply mark where one clause ends and another begins with paragraph markers ('Enters') or page or section breaks.

          The button to create an "Instant Glossary" is found in the Pathagoras drop down menu.  (You can also find it  under "Glossary Functions" and under "Glossary Tools".)

Separate each clause by ‘Enters’:

Use one 'Enter' if you want every paragraph in the document to be a separate glossary term (good for forms, contracts, etc. where each paragraph 'stands alone').

Use two 'Enters' to mark the separate terms when not every paragraph should be a term. For example, things like address lines in a letter should stay together. Or, if preparing a form document where a clause should contain two or more paragraphs of text. Separate the separate terms with double 'enters.'

Use three (or more) 'Enters' if you have titles and headers (and similar things that are normally separated from their associated text by a double 'enter') in your document.

Or separate each clause by:

Pages: If you don't want to mess with 'Enters,' you can simply place each term onto a separate page. It's easy to create a page break. Just press <Ctrl-Enter>. The only caveat here is that the text on the page cannot flow onto the next page or else Pathagoras will see that text as separate terms. Consider either three 'Enters' (above) or 'Sections' (below) for quantities of text that extend beyond a page.

Sections: If each term resides in a separate section of the document, Pathagoras will process each section as a separate glossary term.

    So, get started right now. Display one of your documents to the editing screen. Anything. A letter, a contract, a proposal, a will, etc. Press the <Instant Glossary> button. Pathagoras will save the original of your document, and work from a copy.  Mark up the copy with the appropriate paragraph, page or section breaks. Press the 'Continue' button. After that, only three more questions are asked:

1. "What prefix do you want to use?" (Pathagoras will use its standard prefix/suffix naming style for the various clause names. You can add the subjects later.)

2.  "What is the number for the first clause?"  (The default is 100)

3.  "What numerical increment between clause numbers do you want to use?"  (Default is 10. This allows Pathagoras to automatically number the clauses for you.)

    Pathagoras quickly places bookmarks around each new clause (following the rules you provided), assigns the appropriate name; finds the second paragraph (page, section), etc.

    The new glossary will automatically be added to your current library. If your current library is full, it will ask you for another library, or ask if you want to create a new library.

    After the glossary is created, Pathagoras will also generate a helpful instruction guide on how to 'perfect' the glossary for most efficient use in your office.

  This is a substantial leap forward in the intuitive nature of the program. It strips away the excuses you may have had for not creating glossaries before now.
