'Shelving' a Book in a Library

Summary:
     By this point, you likely have created a few forms and maybe even a  glossary or two. You also have neutered the text so that the various clauses and forms can be used in any setting. Now you need to be able to get to them easily. You do this by linking the book of your clauses and forms to a library. After that link is made, you can quickly access any clause or form with a few simple mouse-clicks.

   
Any source of clauses is a 'book' in PATHAGORAS' document assembly lingo. If you have documents on your computer, you already have a book that can be used for document assembly.
PATHAGORAS is programmed to read the contents of any folder, and display the names of each document in that folder onto a checksheet. Check off one, a few, or lots of clauses on the checksheet, press <Go> and, 'instant document'.

    A 'book' in the language of PATHAGORAS is any group of related clauses, documents or forms collected in a single location. The location can be a glossary (which is a single document containing the entire collection of terms) or a simple folder (just a standard Windows folder) which might contain the forms and documents and clauses that you have been creating up until now. 

    Some of the earlier discussions and exercises presupposed that you have some books already shelved in a Library. Such may not actually have been the case.  The following material provides you the actual (very simple) steps to do so.

   Adding a 'book' ( a glossary or a folder) to the current library
1. Click the DocAssembly icon.
2. Click a blank line onto which you want the new book 'shelved.'
3. Click the QuickSet button that will appear.
4. If the document on the underlying screen is the glossary which you want to be the book,  , . .


Creating your first document assembly 'book': 
To enable a functional CheckBox screen, you must create a simple link between Pathagoras and the desired folder of clauses. We call this shelving a 'book'. Here's one way (the simplest way) how it is done:

     Step 1: Display the "Libraries & Books" screen. To display the "Libraries & Books" screen, simply press the DocAssembly icon in the PATHAGORAS menu bar. It's the third one from the left.

     When you press the DocAssembly icon, a screen containing the contents of your current library will display. The current library is noted in the text box along the right side of the screen beneath the words "Current Library." Upon installation of Pathagoras, the default library is called DocAssemDemo (shown in the below figure). You can easily add your own Libraries (and you are encouraged to do so) but that is the subject of another lesson.

     Because there are 4 extra slots in the DocAssemDemo library, and because we want to keep things simple for now, let's just use that library. (Rest assured that the steps are the same no matter which library you are using.)

     Step 2: Select an empty shelf (the first blank one, in this case, #7 is a good one to use). A new item will appear at the right hand side of the screen called 'Quick Set'. Press it.

      Step 3: Choose 'Glossary' or 'Folder'. After you press the Quick Set button, the following menu will appear. Choose the type of 'book' you want to place on the shelf. For purposes of this lesson, choose option #2, "Documents in a Folder." (If your goal is to insert a glossary as a book, choose option #1.) The assumption being made here is that, at the beginning your book is going to be a folder of clauses. Study the other choices as well. You eventually may want to map those kinds of books as well.

     Step 4: Navigate to the folder. Follow the prompts that will next appear. You will be asked to navigate to the folder which contains the documents/clauses/forms you want to place on the shelf in the current library. Once you have navigated to the proper folder (you should be 'inside' the folder, and be able to see some of the documents that are part of the folder), press the 'Save' button. That's it. You have 'shelved' the book your book within the library. (Note: You do not have to highlight a particular document once you have displayed the desired folder. Just make sure that you are 'inside' of the folder before you press the 'Save' button. All documents inside of the folder will automatically be included in the book.

If you want to add a specific glossary to the library, you will be asked to highlight that glossary before pressing 'Save.' Shelving glossaries is a fairly automatic function that is done upon glossary creation and is rarely done via these screens. Therefore, shelving glossaries is not emphasized on this page. However, the instructions which accompany a press of button #1 in step 3 above should make shelving the glossary a simple process.

     Step 5: Test your work. Click on the DocAssembly icon. Double-click on the book that you just shelved. The documents in the folder (the 'book') will be displayed in onto Pathagoras' CheckBox screen. Click on one, several or all of the documents/clauses you desire. Press <Assemble Clauses> or <Insert Clauses> (depending upon whether you are creating a new document or simply inserting the text into the existing document). The selected text is instantly presented. (If you want to get a peek at a clause to make sure it is the one you want to use, double-click on the checkbox next to the clause.)

     What if your default library is full and you want to add the book to another library?  Or, what if you want to simply overwrite a currently assigned book with a new one? Or, what if, as you use Pathagoras more and more, you want (and need) to create you new libraries to house the books for various general subject areas of your business or practice?  All of the above challenges are easily accomplished in Pathagoras.

    Replace book in current library: You can easily replace a book in the current library with another of your choosing. Display the <Settings> screen. Click on the option button next to the book you want to replace. Press the blue <Browse> button and follow the steps, which are identical to Steps 3, 4 and 5 above.

    Select a different library: If you want to shelve a book into a different library, display the <Settings> screen and select the desired library from the drop-down box on the left hand side of the <Settings> screen. Then repeat steps 3, 4 and 5 above. (You can also accomplish this from the initial Libraries & Books screen. Select a new library from the dropdown list at the right, select a blank shelf, select <Quick Set> and then follow steps 3,4 and 5 above.)

    Add a new library:  The DocAssemblyDemo library will not serve you well for very long. You will undoubtedly want to add a library that is more 'personal' to your company, and add more and more libraries as you begin to realize their tremendous benefit in office productivity. Here are the simple steps to add a Library.
        1. Display the Document Assembly "Settings" screen.
        2. Click on the <Add> button which you will see in the lower left corner of the "Settings" screen.
        3. When prompted, provide a name for the new library.
        4. Follow the remaining prompts.
You will be given the opportunity to keep the current set up or to start from a fresh screen. We suggest that you keep the previous setup. There is generally a book or two that you will want to keep. It is easy to write over any you don't want to keep.
